Overview

The Administrative Assistant for Touro’s Physician Assistant (PA) Program within the School of Health Sciences will work closely with the Clinical Coordinator and help orchestrate operationalize the clinical phase of the Program.

Responsibilities

Provides administrative support to the Clinical Coordinator(s), including but not limited to the following:

  • Assist the Coordinator(s) in scheduling clinical year activities including rotation scheduling, call back activities, guest speakers.
  • Liaise with clinical preceptors, students and clinical instructors.
  • Creating callback agenda schedule.
  • Maintain student clinical rotation schedule on EXXAT®.
  • Records Maintenance:
    • Student files- Academic Correspondence.
    • Learning objectives/syllabi.
    • Bio/Sketch Health Forms.
    • Enter grades in EXXAT® and Excel.
    • Maintenance of clinical site data including affiliation agreements, Preceptor licenses, and board certifications.
  • Collects updated health forms for the Clinical Year.
  • Ensures review by Medical Director.
  • Maintains student/clinical files.
  • Assists in Accreditation data entry.
  • Correspondence - Answer telephones, respond to inquiries, records and delivers messages.
  • Disseminate mid and final Preceptor Evaluation forms.
  • Proctoring of Didactic/Clinical exams.
  • Assists in development of clinical schedule.
  • Ensure students and preceptors complete evaluations each rotation.
  • Assign exams to students on Examsoft®.
  • Photocopy material for distribution to students; such as examinations (if necessary) room availability.
  • May be crossed trained on additional administrative tasks as needed for optimal program operations.

Qualifications

Education/ Experience

  • Bachelor's Degree preferred.
  • Associate degree required.
  • 2-3 years of administrative experience required.

Knowledge/ Skills/ Abilities

  • Demonstrates proficiency in communication (written and verbal).
  • Strong attention to details.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
  • Effectively manage and organize daily tasks independently and with a team while balancing multiple projects and meeting deadlines.
  • Accuracy and productivity in completing tasks.
  • General administrative duties.
  • A high degree of interpersonal competency: Professionalism, diplomacy, judgement, and discretion.
  • Demonstrated ability to develop positive and cooperative relationships with students, faculty, and colleagues.
  • Ability to solve complex problems and meet deadlines.
  • Exceptional analytical problem-solving skills, collaboration, and matrix management skills.

Travel

  • Position is on- campus at 3 Times Square New York, NY but may require travel for conferences and inter-program retreats.

Maximum Salary

USD $56,000.00/Yr.

Minimum Salary

USD $44,800.00/Yr.
