Overview

The Administrative Assistant is responsible for clerical and administrative support to Machon L'Parnasa's Campus Director, Advisement, and other senior officials. Additionally, the Administrative Assistant will provide support to the Director and students of Machon's Sonography Program. 

Responsibilities

  • Answering phones: Assisting or directing callers accordingly.
  • Meet and greet visitors.
  • Scheduling appointments.
  • Maintain registration and other files for students and staff.
  • Photocopying.
  • Clerical Support to Director of Sonography Program, this includes and is not limited to: Acting as the liaison between the Director and Sonography students and preparing students with up to date information on courses and clinicals.
  • Interaction with various departments including Registrar, Financial Aid, Admissions, and Bursar.
  • Must maintain confidentiality in working with student records.
  • Preparation of semester schedules when received from Campus and Sonography Directors.
  • Contacting students and faculty as needed.
  • Update information throughout campus such as posting current semester schedules, notices of student course workshops, and upcoming exams.
  • Communication with Campus Director, Sonography Director, and Advisement on all work-related matters.
  • Periodic proctoring of exams.
  • Assisting with student interview/preparation.
  • Liaison with library services.
  • Assist with purchasing equipment/supplies, etc. for the department.

Qualifications

Education/ Experience

  • Associates Degree required.
  • A minimum of two years experience, preferred.

Knowledge/ Skills/ Abilities

  • General Administrative Duties.
  • Proficiency in Microsoft Office Suite including Word, Excel, Power Point, Outlook.
  • Strong attention to details.
  • Effectively manage and organize daily tasks independently and with a team while balancing multiple projects and meeting deadlines.
  • Accuracy and productivity in completing tasks.
  • Customer service and team orientated.
  • A high degree of interpersonal competency: Professionalism, diplomacy, judgement and discretion.
  • Demonstrated ability to develop positive and cooperative relationships with students, faculty, and colleagues.
  • Demonstrated proficiency in communication (written and verbal).

Hours

  • Additional work hours required during fall and spring registration.



Maximum Salary

USD $50,000.00/Yr.

Minimum Salary

USD $40,000.00/Yr.
