Overview

The Lab Coordinator at Touro College of Dental Medicine’s clinical site in Albuquerque, New Mexico is responsible for coordinating daily lab operations as it pertains to verifying lab approval, shipping out lab cases, following up with lab/students regarding the status of the lab cases, and updating accordingly in Touro’s internal database. This role also provides customer support and assists Patient Care Coordinators (PCC) in the daily operations of on-site dental clinics.

Responsibilities

Responsibilities include, but are not limited to:

  • Verify financial and faculty approval.
  • Print prescription from Axium and place in lab box.
  • Pack case and have ready for pick up/ ship out (no cases should sit in lab office for more than 24 hours except for Friday cases).
  • Follow up with lab for return dates (check email from lab).
  • Follow up with students and CPL when the case needs additional information (emails to and from lab directors).
  • Receive the cases, update the status in Axium and inform the students, CPL and PCC that the case arrived.
  • Remove invoice from the bag/ box and add information into Axium.
  • All received cases must be entered prior to the end of day.

Patient Care Coordinator (Front Desk) Duties:

  • Perform check-in, update demographics, verify phone number and emails, collect and upload patient dental insurance information and verify dental eligibility when needed.
  • Collect outstanding balances, screening and emergency fees.
  • Upload Dental symphony or paper registration form when is needed.
  • Update scheduled patient appointment's status to indicate cancelled or no-show appointment.
  • Upload medical clearance or any fax received for patient into chart and notify PCC.
  • Check emails, voicemails and respond to them in a timely fashion (same day).
  • Promote hospitality and respect for all patients, students and faculty.
  • Schedule rideshare transportation for patients when required.
  • Answer phones as needed.
  • Safeguard patient privacy and confidentiality.
  • Perform other duties assigned in support of clinic operations and patient care services as needed.

Qualifications

Education/Experience

  • High school diploma or equivalent (GED) required.
  • Experience in a dental office strongly preferred.

Knowledge/Skills/Abilities

  • General administrative duties required.
  • Proficiency in Microsoft Office Suite including Word, PowerPoint, & Outlook required.
  • Strong attention to details required.
  • Effectively manage and organize daily tasks, independently and with a team, while balancing multiple projects and meeting deadlines required.
  • Accuracy and productivity in completing tasks required.
  • Customer service ability to work as part of a team required.
  • Demonstrated ability to develop positive and cooperative relationships with students, faculty, and colleagues required.
  • Demonstrated proficiency in communication (written and verbal) required.
  • Accurate data entry skills experience with AxiUm, computer program entry is desirable.
  • Adherence to confidentiality, state, federal, and HIPAA laws and guidelines with regards to patient's records.
  • Must be available for work during the hours assigned for student instruction and practice development.
