Overview

The Administrative Assistant will provide operational support to Touro College of Dental Medicine’s clinics in Albuquerque, New Mexico, ensuring efficiency and efficacy. Reporting directly to the Executive Assistant Dean of Clinical Affairs, the incumbent in this position will interact frequently with leadership, faculty, staff, students, and the greater Albuquerque community, and will be responsible for day-to-day planning and scheduling of the Executive Assistant Dean’s calendar.

Responsibilities

Responsibilities include but are not limited to:

  • Providing administrative support for projects, meetings and other recurring events as well as impromptu or special events within the College/Clinic environments.
  • Answer phones and greet visitors and provide customer service to executive leadership, faculty, staff, and students.
  • Schedule appointments and meetings and maintain various schedules and calendars.
  • Prepare communications, such as memos, emails, reports and other correspondence.
  • Process reimbursements and handle other financial matters including invoices.
  • Write and edit documents including letters and reports.
  • Create and maintain filing systems, (both electronic and physical).
  • Other tasks and duties as assigned.

Qualifications

Education/ Experience

  • Associate’s degree or high school diploma/GED equivalent and 1+ year of administrative experience (including work study/student work) required.

Knowledge/ Skills/ Abilities

  • A high level of discretion and ability to handle confidential information.
  • A high attention to detail.
  • Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, &Outlook.
  • Excellent communicator, both verbally and written, with the ability to interact with all levels of people and distinct personalities, internal and external to the organization.
  • Proven organizational and time management skills with the ability to multitask and prioritize tasks and project manage timelines and processes.
  • Proven ability to work both collaboratively and effectively in a team environment, and independently depending on the tasks at hand.
