Overview
This position provides administrative support to the Office of Student Services and Records and assists with all activities flowing through the Office of Student Services and Records.
Responsibilities
Greet all visitors to the Office of Student Services and Records.
Assist the Records Specialist in administering and proctoring weekly quizzes, assessments, mid-term exams and final examinations (including accommodated exams); assigning rooms for all exams; assist with scheduling proctors for exams; assist with coordinating all accommodated exams and send students confirmation of their new exam date/time; print and collate computer exams; assist with hiring and training proctors for exams.
Coordinate and assist with orientation preparation (preparing materials, etc.)
Process all student requests and approvals from Assistant Dean (including sending confirmation to student and registrar).
Assist with special projects as assigned by Assistant Dean for Student Services and Records, Director of Student Services and Scholarship Aid, Registrar and Records Specialist.
Assist with assigning faculty advisors to incoming students.
Assist the Director of Student Services and Scholarship Aid with work related to the student organizations.
Schedule appointments for the Assistant Dean for Student Services and Records.
Order supplies, and complete filing and other tasks as needed.
Other duties as are assigned by the Assistant Dean for Students Services and Records. Working on some evening and Sundays is required.
Qualifications
Education/Experience
Bachelor's Degree preferred
Minimum of 3-5 years of experience in an administrative assistant position.
Knowledge/Skills/Abilities
Computer skills: MS Word, Outlook Email, & Excel
Highly energetic, organized, and efficient with a get things done attitude
Ability to work quickly and efficiently with attention to details and accuracy
Entirely dependable: completes tasks assigned; knows when to raise issues requiring the Assistant Dean for Student Services or the Director of Student Services's guidance or interventio
Discreet, ability to keep sensitive information confidential
Ability to problem solve and exhibit a positive attitude
Strong verbal, written, and interpersonal communication skills
Outstanding ability to manage multiple priorities
