Overview
The Administrative Assistant for the Middletown Campus works closely with the Academic Coordinator and helps orchestrate the academic phase of the Program.
Responsibilities
Scheduling:
Coordinates with the Academic Coordinator in scheduling instructors for the academic year
Communicating with instructors on date and time availability each semester
Creating a monthly calendar for the students
Communicates with the registrar instructors associated with courses in Canvas
Scheduling of exams in Examsoft
Assists in coordination of orientation
Records Maintenance:
Student Files - academic, correspondence
Semester and yearly summaries for didactic cohorts
Mid and final course/instructor evaluations
Learning Objective/Syllabi
Test files
Examsoft
Bio/Sketch- Health Forms
Collects updated health forms for the Academic Year
Insures review by Occupational Health
Maintains student files
Typing and Filing
Correspondence
Examinations
Evaluations Forms
Lecture Outlines
Course Outlines/Syllabi
Learning Objectives
Answer Telephones
Responds to inquiries
Records and delivers messages
Mail
Posts outgoing mail
Travels to Post Office when necessary
Proctoring of Didactic Exams
Site Evaluations
Assists in development of schedule
Photocopies material for distribution to students, such as examinations (if necessary) room availability
Qualifications
Education/Experience
High School Diploma/GED Eqvlnt.
Associates Degree preferred.
Associates Degree or equivalent experience
Knowledge/Skills/Abilities
Strong interpersonal skills are required both written and oral
Well organized
Able to prioritize tasks and manage multiple and varied tasks with frequent high levels of urgency and sensitivity
Must be able to work collaboratively and effectively with colleagues in a team environment.
Proficient knowledge of Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, & Zoom
Requires ability to manage multiple and varied tasks
Timely response to emails (within 24 hours)
Learning Management Systems such as Canvas®, Examsoft® preferred
Travel
Travel to Manhattan campus; occasional travel to Central Islip Campus
Working Conditions
Sitting for long periods of time Extensive use of computers Ability to lift a minimum of 5 lbs.
