Clinical Administrative Assistant

The Clinical Administrative Assistant for the Manhattan Campus works closely with the Clinical Coordinator and helps orchestrate the clinical phase of the Program.

Provides administrative support to the Clinical Coordinator but not limited to the following:

• Schedule/Coordinate with the Clinical Coordinator in scheduling instructors for Callback
• Communicating with instructors on date and time availability (each semester)
• Creating callback schedule
• Maintain student clinical rotation schedule on EXXAT
• Records Maintenance
• Student files- Academic Corespondence
• Learning objectives/syllabi
• Bio/Sketch Health Forms
• Collects updated health forms for the Clinical Year
• Insures review by Medical Director
• Maintains files
• Typing and Filing
• Correspondence - Answer telephones, respond to inquiries, records and delivers messages
• Examinations
• Evaluation forms
• Proctoring of Didactic/Clinical exams
• Assists in development of schedule
• Ensure students and preceptors complete evaluations each rotation
• Assign exams to students on Examsoft
• Photocopy material for distribution to students; such as examinations (if necessary) room availability

Education/ Experience

• Bachelor's Degree preferred.
• Associates Degree required.

Knowledge/ Skills/ Abilities

• Demonstrated proficiency in communication (written and verbal).
• Strong attention to details.
• Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook.
• Effectively manage and organize daily tasks independently and with a team while balancing multiple projects and meeting deadlines.
• Accuracy and productivity in completing tasks.
• General Administrative Duties.
• A high degree of interpersonal competency: professionalism, diplomacy, judgement, and discretion.
• Demonstrated ability to develop positive and cooperative relationships with students faculty and colleagues.
• Ability to solve complex problems and meet deadlines.
• Exceptional analytical problem-solving skills, collaboration, and matrix management skills.

Travel

• Position is on- campus at 218-232 40th St. New York NY but may require travel for conferences.
